Being available is not the same as being helpful
A team can respond quickly all day and still struggle to finish the work that needs care. Focus is easier when people know where to find information and what actually needs an immediate answer.
Agree on what urgent means
Choose one clear way to raise a genuine blocker. Keep everyday questions in the project conversation, with enough context for someone to respond when they finish their current task.
Write for the next person
A useful brief contains the outcome, the constraints, and the next decision. Give each task a home for its files and feedback. The more context stays connected, the fewer interruptions are needed to reconstruct it.
Review the rhythm together
No routine works forever. At the end of a project, ask which conversations helped and which could have been a note. Keep the useful habits, simplify the rest, and leave room for people to work in different ways.
